The Sensual Arts School Retreat Booking Terms and Conditions
These Terms and Conditions refer to events run by The Sensual Arts School. âWe/hosting organizationâ refers to The Sensual Arts School. âYouâ refer to yourself, the attendee/guest.
1. OBJECT
The following pages contain our Terms and Conditions ("Terms") applicable to the event, in relation to the registration and, where applicable, cancellation of the attendees ("you", "your", "yours") of the event, whether physical or virtual with the use of video or web conferencing tools/platforms. We reserve the right to reject any attendance request for an event if we determine it to not be fitting.
2. BINDING EFFECT
Upon payment of the deposit, you are considered âregisteredâ. By submitting your deposit, you agree to these Terms without modification and enter into a binding contract with us when you purchase a ticket to or register for the event.
3. PROGRAM CHANGES
It may be necessary to change the event content and timing of the program, the speakers, the date, or the venue at any time prior to the event. In such cases, we will notify you and you will be given the opportunity to cancel your registration. If you cancel due to these changes, we are not responsible for any personal costs and/or expenses incurred.
4. LANGUAGE
We may translate these Terms into other languages for your convenience. The English language version governs these Terms. In case of any conflict, the English language version will prevail.
5. PAYMENT OF FEES (WHERE APPLICABLE)
You undertake to pay the relevant fees (all taxes included) as specified in the information accompanying this document if you wish to attend the event. Fees shall be paid in accordance with the conditions outlined. In the absence of specific conditions, fees shall be paid as set out on the invoice, but in any case, before the beginning of the event.
6. CANCELLATION BY THE HOSTING ORGANIZATION
The Hosting Organization may, at any time, with or without notice, cancel your registration and/or cancel or postpone the event, change its venue, or withdraw any invitation to attend. In case of cancellation, paid event fees will be reimbursed using the same means of payment, unless agreed otherwise. If postponed, fees can be transferred to the new date or refunded (70% of the deposit). We are not responsible for any personal costs and/or expenses due to postponement or cancellation.
7. CANCELLATION OF REGISTRATION BY YOU
If you cancel your booking, we will not issue a cash, cheque, or credit card refund. Instead, a portion of your payment can be used as credit for another retreat within twelve months from the original booking date. Booking transfers to another attendee are permitted. All cancellation requests and transfers must be received in writing via email ([email protected]).
7.1 Cancellation fees
14+ days before the retreat start date: 100% of the payment (less the non-refundable deposit) can be applied to another retreat within one year from the date of booking or refunded less the deposit.
7 - 13 days before the start date: 50% of the retreat price (less the non-refundable deposit) can be applied to another retreat date within one year from the date of booking or refunded less the deposit. 50% of the overall price will be forfeited.
0 - 6 days before the start date: Full retreat package price is forfeited.
7.2 Exceptions
No exceptions to the cancellation policy. No credit for arriving late, departing early, missing activities, or not utilizing any part of the program. Signed participation agreement and liability waiver form must be submitted 90 days prior to the retreat start date. Failure to do so may result in automatic cancellation and the above policy will apply.
8. TRAVEL AND HOTEL ACCOMMODATION (WHERE APPLICABLE)
You are responsible for making your own travel and accommodation arrangements. We may offer transport options at an additional cost. Check your visa requirements with your local embassy or consulate. We recommend purchasing appropriate insurance against cancellation as well as adequate health and accident insurance.
9. ASSISTANCE â DIETARY REQUIREMENTS (WHERE APPLICABLE)
If you need special assistance (e.g., for a disability), please contact us in advance by email ([email protected]) to arrange such assistance. You will have the opportunity to mention dietary requirements during registration.
10. DATA PROTECTION
By registering and/or participating in the event, you acknowledge that your personal data will be collected and processed by us to organize the event and manage your participation, as detailed in our Privacy Policy.
11. FORCE MAJEURE
We will not be liable for any failure to perform or delay in performance of obligations caused by events outside our control ("Force Majeure event"). Such events include but are not limited to Acts of God, fire, flood, earthquake, pandemic, war, civil authority, terrorism, and industrial disputes. Performance is suspended during the Force Majeure event. We will use reasonable endeavors to bring the event to a close or find a solution to perform our obligations.
12. CONDUCT AT THE EVENT
We are dedicated to making the event a safe place for all participants. You must not engage in behavior that is threatening, libelous, defamatory, obscene, or illegal. We may rescind your registration or attendance without notice for violations. In such cases, paid event fees will not be reimbursed.
13. LIABILITY
Keep your personal belongings safe. We accept no liability for damage or loss of personal belongings unless caused directly by our negligence. We disclaim all warranties of any kind, express or implied. You waive all claims against us for issues such as event interruptions or inaccuracies.
14. ENTIRE AGREEMENT â CONTRACT WITH THIRD-PARTY WEBSITE AND/OR PLATFORMS/TOOLS
These Terms constitute the entire agreement between you and The Sensual Arts School, superseding all previous agreements. You may be required to register via third-party websites/platforms. We make no representations or warranties and have no liability for third-party content or your use of such platforms.
