Love That Liberates

These Terms and Conditions apply to retreats and intensive experiences facilitated by Love That Liberates. 'We / the hosting organisation' refers to Love That Liberates and its facilitators. 'You' refers to the attendee, guest, or client.

1. OBJECT
These Terms govern the registration, payment, and where applicable, cancellation of retreat bookings with Love That Liberates. Retreats may be residential (including accommodation on our Pai property or at a partner venue) or non-residential (day or multi-day programs without overnight stays). We reserve the right to decline any booking request at our discretion, including where we assess the retreat content or format to not be an appropriate fit for the prospective attendee at this time.

2. BINDING EFFECT
Upon payment of the deposit, you are considered registered and a binding contract is formed. By submitting your deposit you confirm that you have read, understood, and agreed to these Terms without modification.

3. INTAKE PROCESS AND ELIGIBILITY
Due to the intimate and personal nature of our retreats, all bookings require completion of a pre-retreat intake form and, where relevant, a pre-retreat consultation call with your facilitator. We reserve the right to pause or withdraw a booking at any stage of the intake process if we determine the retreat is not an appropriate fit. In such cases, your deposit will be refunded in full. 
 

If we find you have been dishonest on your intake form about any of the information, we reserve the right to remove you from the retreat with no refund. 

4. PROGRAM CHANGES

We reserve the right to adjust retreat content, timing, scheduling, facilitators, or venue prior to the event. You will be notified of any material changes and given the opportunity to cancel. If you decide cancel due to material changes initiated by us, you will receive a full refund of all payments made (If more than 30 days before the retreat) or a partial refund if closer to the date. We aim to be transparent about why any changes are made, to offer compensation in the case of shorter experiences or changes that take value from the retreat and to do our best to ensure we can go ahead with the offerings. 

5. PAYMENT
Fees are as specified in your booking confirmation or retreat proposal. A non-refundable deposit (as stated in your booking details) is required to secure your dates. The remaining balance is due no later than 28 days before the retreat start date unless otherwise agreed in writing. Failure to pay the balance by the due date may result in the booking being cancelled and the deposit forfeited.

6. CANCELLATION BY LOVE THAT LIBERATES

We may cancel or postpone a retreat due to circumstances outside our control, insufficient registrations (for group retreats), facilitator illness or emergency, or venue cancellations. In the event of cancellation by us: all fees paid will be refunded in full, an alternative will be offered (usually a shorter experience) or you may choose to transfer your payment to a future retreat date. We are not liable for any travel, accommodation, or other personal costs incurred. We recommend travel insurance to cover any cancellation costs.

7. CANCELLATION BY YOU

All cancellation requests must be submitted in writing to [email protected] . The following fees apply:

7.1 Cancellation Schedule

If there is a serious, unavoidable reason for cancellation we may offer credit to use for online courses or coaching on a case by case basis. 

7.2 Deposit
The deposit is non-refundable in all circumstances except cancellation by us (clause 6) or ineligibility determined during intake (clause 3). 

7.3 Credit Transfer
Where a refund is not applicable, payments may be held as credit toward a future Love That Liberates retreats or online courses within 16 months of the original booking date, subject to availability.

7.4 Booking Transfers
You may transfer your booking to another person with our prior written approval. The incoming attendee must complete the intake process and be confirmed as eligible before the transfer is finalised.

7.5 No Partial Refunds
No credit or refund will be issued for late arrivals, early departures, missed sessions, or unused portions of the program.

8. RESIDENTIAL RETREATS — ACCOMMODATION

For retreats including accommodation (whether at our Pai property or a partner venue):

• Check-in and check-out times will be confirmed in your pre-retreat information pack.
• You agree to treat the accommodation and shared spaces with care and respect. Any damage caused may be charged to you.
• We are not responsible for loss or theft of personal belongings.
• Accommodation is provided solely for retreat participants during the confirmed retreat dates. Guests or visitors are not permitted without prior written approval.

9. TRAVEL AND PERSONAL ARRANGEMENTS

You are responsible for all travel, visa requirements, and any accommodation outside the retreat dates. We strongly recommend purchasing comprehensive travel insurance, including cover for cancellation, medical expenses, and personal liability. We accept no responsibility for disruptions to travel arrangements.

10. HEALTH, WELLBEING, AND CONTRAINDICATIONS

Our retreats involve somatic, embodiment, sensual and potentially emotionally activating practices. You are responsible for disclosing any physical conditions, injuries, mental health history, or medications that may be relevant to participation, via your intake form. We reserve the right to modify or limit your participation if we assess this to be in your best interest or the interest of the group.

We are not medical or mental health practitioners. Our work is educational and experiential in nature and does not replace therapy, medical care, or psychiatric support. If you are currently under the care of a mental health professional, we may request a letter of support before confirming your booking.

11. CONSENT, BOUNDARIES, AND CONDUCT

Love That Liberates is committed to creating a safe, consensual, and respectful space for all participants. You agree to:

• Respect the physical, emotional, and energetic boundaries of all participants and facilitators at all times.
• Participate only in activities you have consented to; you may withdraw consent at any time.
• Maintain the confidentiality of other participants — what is shared in the retreat space stays in the retreat space.
• Refrain from attending under the influence of alcohol or non-prescribed substances.
• Engage with honesty, care, and a willingness to communicate your needs and limits.

Breaches of these agreements may result in removal from the retreat without refund.

12. PHOTOGRAPHY AND RECORDING
No photography, audio recording, or video recording of sessions, practices, or other participants is permitted without explicit consent from all parties involved. Any recordings or notes made for personal use are not to be shared publicly. We may offer retreat photography for you to have some memories of the experience - you have the right to opt-out (either being totally out of photos or blurred for confidentiality) 

13. CONFIDENTIALITY

We hold all personal information shared through the intake process, consultation calls, and retreat sessions with strict confidentiality. We may reference retreat work in general terms in our teaching or marketing but will never identify you or share identifiable details without your express written consent. Notes and forms are stored on private cloud servers which may be at risk of hacking. Any private details you do not wish to be on these servers can be discussed via a call. 

14. FORCE MAJEURE
We will not be liable for failure to perform obligations caused by events outside our reasonable control, including but not limited to natural disasters, pandemic, government restrictions, war, or civil unrest. In such cases we will make reasonable efforts to reschedule or find an alternative solution, and will communicate with you promptly.

15. LIABILITY
We accept no liability for loss, damage, or injury except where caused directly by our own negligence. You participate in all retreat activities at your own risk and are encouraged to carry adequate personal insurance. Nothing in these Terms limits liability for death or personal injury caused by our negligence.

16. DATA PROTECTION
Your personal data is collected and held in accordance with our Privacy Policy. By registering you consent to us processing your data for the purpose of organising and delivering your retreat experience.

17. ENTIRE AGREEMENT
These Terms constitute the entire agreement between you and Love That Liberates in relation to your retreat booking and supersede all prior communications. Any amendments must be agreed in writing by both parties.

18. GOVERNING LAW
These Terms are governed by the laws of Thailand, where our retreats are primarily based, unless otherwise specified for retreats held in another jurisdiction.

By paying your deposit you confirm you have read and agree to these Terms and Conditions.
